Who Loads the ATM? Cash and Service Responsibilities Explained

Clarify who supplies ATM cash, who replenishes it, and who handles maintenance before choosing a service arrangement.

The person who owns an ATM is not necessarily the person supplying or loading its cash. Ask about ownership, cash funding, replenishment, and maintenance separately when comparing a placement or cash-management proposal.

CORD's merchant-loaded placement program is one concrete example: the company lists equipment and service among its responsibilities, while the merchant provides cash management. That allocation belongs to that program and should not be assumed for another operator. CORD merchant-loaded placement.

Separate the responsibilities

Ask who owns the equipment, who owns the cash placed in it, who performs replenishment, and who reconciles the records. Then identify who handles hardware faults and who communicates with the processor.

Put each answer in the agreement. If more than one business is involved, request a contact and escalation process for each responsibility. A general promise to manage the ATM leaves too much room for different interpretations.

Understand the proposed service

Ask how replenishment is requested or scheduled, what reporting is available, and what happens when access to the location is restricted. Discuss the service area and operating hours without publishing cash schedules or sensitive access details.

Request the charges and conditions for the proposed cash service. Clarify how shortages, discrepancies, and disputed records are investigated under the agreement. Insurance and responsibility for losses should be addressed with the parties and their advisers rather than inferred from a service label.

Check what remains with the merchant

A merchant should know whom to call when customers cannot use the ATM. Confirm which observations staff may report and which actions require authorized personnel. If the merchant will load the machine, discuss the necessary training and procedures privately with the operator.

Keep the operating responsibilities consistent with the placement and processing arrangements. A separate cash service does not automatically include equipment repairs or replacement parts.

Browse ATM Atlas for cash-management and operator contacts, then ask each provider to describe its specific arrangement in writing.
